This Privacy & Data Protection Policy explains what information we may collect, why we collect it, how we use and protect it, when it may be shared, how long it may be retained, how technologies such as artificial intelligence and social media may be used, and what privacy choices may be available to you.

2. Information We May Collect

The information we collect depends on how you interact with AZ SkillCare. You may provide information such as your name, contact information, date of birth, preferred language, program interests, application or enrollment information, education or training history, certifications, employment-related information, emergency contact information, communications, documents, payment-related information, accommodation requests, survey responses, or information submitted through a student portal or learning system.

Our websites and systems may also collect limited technical information automatically, such as IP address, browser type, device type, operating system, referring page, pages visited, date and time of access, search activity, login or session information, error reports, security logs, and similar system data.

AZ SkillCare seeks to collect only information that is reasonably necessary for the purpose for which it is requested.

3. How We Use Personal Information

AZ SkillCare may use personal information to respond to inquiries, process applications, register students, provide training, manage schedules, maintain attendance and completion records, issue certificates, support student accounts, process or reconcile payments, administer approved payment arrangements, communicate class or policy information, provide student support, improve educational services, operate our website and technology systems, prevent fraud or unauthorized access, investigate security issues, and meet contractual, regulatory, insurance, safety, or legal obligations.

We may also use information to evaluate and improve our programs, communications, website experience, administrative processes, and technology. We seek to use information in ways that are reasonably related to the purpose for which it was collected.

4. Student Records and Sensitive Information

Some information requires greater protection because misuse could create a higher privacy or security risk. This may include government-issued identification information, financial-account information, authentication credentials, health or disability information provided for an accommodation or emergency, background-screening information when applicable, and other information classified as sensitive under applicable law or AZ SkillCare policy.

Access to student and sensitive information is limited to individuals who have a legitimate educational, administrative, operational, financial, safety, technical, or legal reason to access it.

AZ SkillCare is primarily an education and training organization, not a healthcare treatment provider. This Policy is not a HIPAA Notice of Privacy Practices. If health-related information is provided for an accommodation, emergency, safety matter, or another legitimate purpose, AZ SkillCare will treat that information as sensitive and limit access appropriately.

Students, instructors, and staff should not place patient-identifiable information obtained through outside employment, healthcare facilities, clinical settings, or other confidential environments into AZ SkillCare systems unless the disclosure is lawful and expressly authorized.

5. Cookies, Analytics, and Similar Technologies

AZ SkillCare websites and services may use cookies, browser storage, analytics tools, security technologies, authentication cookies, tags, pixels, and similar technologies to keep users signed in, remember preferences, operate forms and portals, understand website use, improve performance, secure our systems, and measure the effectiveness of communications.

You may be able to control some cookies through your browser or through cookie-management tools provided by the website. Disabling certain cookies may affect website, portal, payment, login, or other functionality.

AZ SkillCare may maintain a separate Cookie Notice with additional information about specific cookies or tracking technologies used on the website.

6. Artificial Intelligence and Automated Technology

AZ SkillCare may use approved artificial intelligence (“AI”), machine learning, automation, or AI-assisted software to support education, administration, communications, research, content development, translation, summarization, productivity, technical support, and other legitimate business activities. These tools are intended to assist people, not replace appropriate human judgment.

AZ SkillCare does not permit confidential or sensitive information to be placed into unapproved public AI systems. This includes passwords, complete payment-card information, government identification numbers, confidential student records, sensitive health information, personnel records, or information belonging to another person that AZ SkillCare is not authorized to disclose.

When an approved AI-enabled service processes information on behalf of AZ SkillCare, appropriate privacy, security, access, and vendor controls should apply. AI-generated material can be inaccurate, incomplete, or misleading, and AZ SkillCare personnel remain responsible for reviewing AI-assisted work before relying on it.

AZ SkillCare does not intend to use artificial intelligence as the sole decision-maker for significant decisions involving enrollment, course completion, discipline, certificates, financial obligations, employment, or comparable rights and responsibilities. Appropriate human review should remain part of those decisions.

7. Social Media, Photographs, Video, and Testimonials

AZ SkillCare may maintain profiles on social media and other third-party communication platforms to share school information, educational content, announcements, events, student success stories, community activities, and other appropriate material.

When you interact with AZ SkillCare through a social media platform, that platform may independently collect information about you according to its own privacy policy and account settings. Public comments and posts should never be used to send AZ SkillCare passwords, payment information, confidential student records, sensitive health information, or other private information. Confidential matters should be handled through an approved AZ SkillCare communication method.

AZ SkillCare may photograph, film, record, or request testimonials in connection with classes, events, promotional activities, or other programs. When consent or a release is required, AZ SkillCare will seek appropriate authorization before using identifiable material for public or promotional purposes.

AZ SkillCare will not intentionally publish confidential student records or identifiable private information through social media without authorization or another lawful basis.

8. Email, Text Messages, and Telephone Communications

AZ SkillCare may communicate with you about inquiries, applications, registration, schedules, class changes, payments, student services, reminders, school announcements, and other requested or authorized matters.

You may be able to opt out of optional promotional communications. Transactional or operational communications that are reasonably necessary to administer an application, enrollment, payment, safety matter, or existing relationship may still be sent when permitted by law.

Marketing emails should include an appropriate unsubscribe method. Text-message communications may include opt-out instructions when required. Message and data rates may apply depending on your service provider.

9. Payments and Third-Party Financial Services

AZ SkillCare may use third-party payment processors, checkout services, or financing providers to process payments or offer payment options. Depending on what is available at checkout, this may include third-party services such as pay-over-time or financing providers.

When a third-party provider processes a payment or financing request, that provider’s own privacy policy and terms may apply. AZ SkillCare generally seeks to avoid storing complete payment-card credentials when payment information can be processed securely by an authorized payment provider.

AZ SkillCare may retain information needed to document the amount paid, date of payment, transaction status, outstanding balance, approved payment arrangement, refund or adjustment, and relevant transaction reference information.

Third-party financing providers make their own approval, account, and underwriting decisions under their own policies.

10. When Information May Be Shared

AZ SkillCare may share personal information with authorized employees, instructors, administrators, contractors, or other individuals who need the information for legitimate educational, administrative, operational, financial, technical, safety, or legal purposes.

We may also share information with service providers that help operate AZ SkillCare, such as website hosting, cloud storage, Microsoft 365 or similar productivity tools, learning-management systems, form platforms, payment processors, email or messaging providers, scheduling services, security providers, analytics services, technical support companies, approved AI tools, document-management providers, or other business-service vendors.

We may disclose information when you direct or authorize us to do so, or when disclosure is reasonably necessary to comply with law, respond to lawful legal process, investigate fraud or a security incident, protect rights or property, address a threat to safety, or enforce an agreement or policy.

If AZ SkillCare undergoes a merger, acquisition, financing, restructuring, sale, transfer, or other business change, information may be transferred as appropriate subject to applicable law and reasonable safeguards.

AZ SkillCare does not sell student records, applications, payment information, or private student communications.

11. Third-Party Websites and Services

AZ SkillCare websites may link to services that AZ SkillCare does not own or control, including payment providers, certification or testing organizations, social media platforms, scheduling systems, financing companies, and external educational resources.

Once you leave an AZ SkillCare-controlled service, the third party’s privacy policy and terms generally govern its handling of your information. A link from AZ SkillCare does not mean that AZ SkillCare controls or guarantees the third party’s privacy or security practices.

12. Security and Data Incidents

AZ SkillCare uses reasonable administrative, technical, and physical safeguards appropriate to the nature of the information it maintains. These safeguards may include access controls, authentication, role-based permissions, encryption where appropriate, secure connections, system logging, backups, monitoring, vendor controls, staff training, and incident-response procedures.

No system can guarantee absolute security. Users are responsible for protecting their own passwords and account credentials and should notify AZ SkillCare promptly if they believe an account has been compromised.

If AZ SkillCare becomes aware of unauthorized access, disclosure, loss, or misuse of personal information, we may investigate the incident, contain and remediate the issue, determine what information was involved, preserve relevant evidence, notify appropriate service providers or authorities, and provide legally required notice to affected individuals.

13. Data Retention

AZ SkillCare retains information for as long as reasonably necessary to provide educational and business services, maintain appropriate student and business records, document completion or certificates, administer payments, resolve disputes, maintain security, satisfy contractual obligations, and comply with legal or regulatory requirements.

Different categories of information may have different retention periods. A request for deletion may therefore not result in immediate deletion of information that AZ SkillCare is required or reasonably permitted to retain.

When information is no longer needed, AZ SkillCare may delete, destroy, anonymize, or otherwise securely dispose of it in a manner appropriate to the information and applicable requirements.

14. Your Privacy Choices and Requests

Depending on the information involved and applicable law, you may ask AZ SkillCare to confirm whether certain personal information is maintained, provide access to certain information, correct inaccurate information, update contact information, request deletion of eligible information, withdraw an optional consent, change marketing communication preferences, or ask questions about how your information is used or shared.

AZ SkillCare may need to verify your identity before fulfilling a privacy request. Some requests may be limited where retention or disclosure is required or permitted by law, contract, safety, recordkeeping obligations, or legitimate business needs.

To submit a privacy question or request, contact AZ SkillCare using the information at the end of this Policy.

15. Changes to This Policy

AZ SkillCare may update this Privacy & Data Protection Policy as our programs, technology, vendors, operations, or legal obligations change.

The Last Updated date at the top of the Policy will identify the current version. Material changes may also be communicated through the website, student portal, email, or another appropriate method when required.
